# Fire safety in a dental practice: who has been shown the escape routes on each day, worked on a nine-person part-time rota

> GOV.UK says all employees need training to use the escape routes. A worked nine-person rota shows how one Tuesday session leaves a Friday with nobody trained.

- Key fact: On an invented nine-person rota with a single Tuesday fire briefing, 4 of 9 staff missed it, 10 of the 26 weekly staff-days (38.5%) are worked by someone untrained, and on Friday all 4 people in the building are untrained; one Friday session would reach all four missing staff (we counted five weekdays and nine people).

A practice runs a fire briefing at the Tuesday staff meeting, signs the sheet and files it. Then Friday comes, with the part-timers in and the Tuesday group out. We read three GOV.UK pages on 28 October 2026 and counted what that does on a typical rota.

## What the pages say

- The "responsible person" must "carry out a fire risk assessment of the premises and review it regularly", "put in place, and maintain, appropriate fire safety measures", "plan for an emergency" and "provide staff information, fire safety instruction and training".
- The five steps are: identify the fire hazards, identify people at risk, evaluate, remove or reduce the risks, record your findings, prepare an emergency plan and provide training, then review and update regularly. "You must keep a written record of your fire risk assessment."
- An evacuation plan needs "clearly marked escape routes that are as short and direct as possible", "enough exits and routes for all people to escape", and "training for all employees to know and use the escape routes". It also says to "make sure there are people to help wheelchair users get downstairs if there's a fire."
- The pages give no review interval ("regularly") and no drill frequency.

The words that matter for a part-time team are "all employees".

## The rota

This is an invented practice, used to show the sums. Nine people, five days:

| Person | Days worked |
|---|---|
| Dentist A | Mon, Tue, Wed |
| Dentist B | Wed, Thu, Fri |
| Hygienist | Tue, Thu |
| Nurse 1 | Mon, Tue, Wed, Thu |
| Nurse 2 | Wed, Thu, Fri |
| Nurse 3 | Mon, Fri |
| Receptionist 1 | Mon, Tue, Wed |
| Receptionist 2 | Thu, Fri |
| Practice manager | Mon, Tue, Wed, Thu |

The Tuesday briefing reaches everyone in on Tuesday: Dentist A, Hygienist, Nurse 1, Receptionist 1 and the manager. That is 5 trained. Dentist B, Nurse 2, Nurse 3 and Receptionist 2 are not there, so 4 of 9 have not been shown the routes.

## Who is in the building untrained, day by day

| Day | In the building | Untrained | Who |
|---|---|---|---|
| Mon | 5 | 1 | Nurse 3 |
| Tue | 5 | 0 | none |
| Wed | 6 | 2 | Dentist B, Nurse 2 |
| Thu | 6 | 3 | Dentist B, Nurse 2, Receptionist 2 |
| Fri | 4 | 4 | all four |
| Total | 26 | 10 | |

Check: 5 + 5 + 6 + 6 + 4 = 26 staff-days, and 1 + 0 + 2 + 3 + 4 = 10. That is 10 / 26 = 38.5% of staff-days worked by someone untrained. On Friday nobody on site has been briefed, and nobody there can lead the others to the meeting point.

## The fix, counted

A second briefing on Thursday would reach Dentist B, Nurse 2 and Receptionist 2, but not Nurse 3, who works Monday and Friday. A Friday session reaches Dentist B, Nurse 2, Nurse 3 and Receptionist 2: all four missing people, in one go. The Tuesday and Friday sessions together cover 9 of 9. Every new starter then needs the same briefing on their first day, and the signed sheet should name each person, not "the team".

Assume the same count for the wheelchair point: if a patient who cannot use stairs is in the surgery upstairs on a Friday, the page says there must be people to help them down. On this rota that is a question for the four Friday staff, none of whom has had the briefing.

## What we did not read

We did not read the fire safety equipment, drills and training section the evacuation page points to, the guidance for premises with sleeping accommodation, or the Fire Safety Order itself. We did not check how a lease or the landlord's duties change who the responsible person is. We did not look for any rule on how often to brief staff, because these pages give none.

The linked rota guides apply the same lens to hours: see [late clinic rest rules on a nurse rota](https://aeolookup.com/clinics/late-clinic-dental-practice-11-hours-rest-20-minute-break-48-hour-week-nurse-rota-worked/), [first-aid cover by working hours](https://aeolookup.com/clinics/first-aid-at-work-dental-practice-appointed-person-first-aider-cover-hours-worked/) and [water safety records](https://aeolookup.com/clinics/legionella-records-dental-practice-5-employees-2-years-5-years-hot-water-50-degrees-worked/).

Overlyft ![](https://aeolookup.com/img/d/ours-badge.png) builds AI staff who join the team, and one of them can do this specific task: match the weekly rota against the signed briefing sheet and list who is in on which day without having been shown the routes, for the practice manager to review and approve.
