- Key fact: A letter of authority sent on 10 September 2026 has, by 1 October, waited 15 working days; the third chase falls at 20 working days, Thursday 8 October, and from then the chase is a complaint under the provider's own procedure rather than a fourth email.
- Sources: Our own chase rhythm, built from paraplanner forum accounts of provider turnaround (The Big Tent, Technical Stuff category) and from broker reports of 15 to 20 message rounds per case (Mortgage Soup, Nivo report); FCA Consumer Duty obligations on firms to support customers, which cover providers' handling of authorities; read 2026-10-01. Every paraplanner knows the file that is waiting on one provider. The letter of authority went three weeks ago, the review meeting is in a fortnight, and the valuation and charges that the report depends on have not come. The chase is written again, politely, from memory. This template writes it from the dates instead, and tells you when it stops being an email and becomes a complaint.

**Free tool on the page:** Document and letter of authority chaser: the chase email for a client, a provider or a lender, with the working-day dates for the next chase and the escalation. It runs in the browser at https://aeolookup.com/financial-advisers/letter-of-authority-chase-email-template-adviser/#tool and asks for no sign-up.

## The rhythm

First chase at 10 working days, second at 15, escalation at 20 with the adviser told. For a provider, the escalation is a complaint under the provider's complaints procedure, which it must have and must handle within the FCA's rules; the third chase says so. For a client, the escalation is a call from the adviser, not a fourth email, because a client who has not sent documents after three requests has a reason, and a call finds it. For a lender, it is the business development manager and a note to the client about the position.

The template counts working days from the request date, prints the days waited in the email so the recipient sees them, and sets a reply date five working days ahead. The file note records all of it, so the next person on the file does not start from memory either.

## Three recipients, three emails

**A provider on a letter of authority.** The email names the client, the date the authority was sent, what was asked for, and the days waited. It asks for the information by a date, and asks that any defect in the authority be raised today rather than at the next chase. The third version frames the request as a complaint and names the consequence: the client is paying for a service the firm cannot deliver without the information.

**A client for documents.** Shorter and warmer. It names what is outstanding, gives the quickest route (photograph and reply, or the portal), offers an alternative if something is hard to find, and on the third request says the work will pause until the documents arrive so that nothing is done on an incomplete picture. It never tells the client what to do with their money.

**A lender or client on a mortgage application.** Names the items, the days waited and the deadline that matters, asks for the items or for confirmation of what else the underwriter needs, and on the third chase escalates to the BDM. Brokers report that specialist cases run to fifteen or twenty message rounds; a complete pack first time is the whole of the fix.

## Why the dates matter

A review pack delivered late because a provider did not answer is still a late review on the firm's record, and the [ongoing service tracker](https://aeolookup.com/financial-advisers/ongoing-service-review-tracker-undelivered-fees/) counts it. A file note showing three dated chases and an escalation is the difference between a review that was late and a review that was not attempted, which is the distinction the FCA's February 2025 review drew. The chase is evidence, not just a nudge.

## What the chase does not do

It does not quote plan details beyond a reference, because the email may be read by someone other than the addressee. It does not threaten anything the firm will not do. And it does not advise: a client asked for documents is not told what the documents will show or what the adviser will recommend, and the [file check](https://aeolookup.com/financial-advisers/suitability-report-file-check-cobs-9-4-7/) is where the information goes once it arrives.

## In the firm

An AI Document Chaser set up by Overlyft ![](https://aeolookup.com/img/d/ours-badge.png) keeps the list of outstanding authorities and documents from the back office, drafts each chase on this rhythm on the day it falls due, puts it in client services' mailbox to send, and writes the file note. On the twentieth working day it tells the adviser and drafts the escalation. It never sends to a client without the firm's sign-off rule being met and never writes anything that could be read as advice. Not legal or regulatory advice.

## Short answers from this page

**How long should an adviser wait before chasing a letter of authority?** Ten working days for the first chase, fifteen for the second, and at twenty working days the third chase should be framed as a complaint under the provider's own complaints procedure, with the adviser told. A letter of authority sent on 10 September 2026 reaches twenty working days on 8 October.
