- Key fact: On the example hours for a small letting agency (28 office hours a week, 21 of them on six jobs a tool can prepare, a quarter of each kept for checking), 15.8 hours a week could be handed over: 56% of the total, costing £10,868 a year at £15 an hour over 46 weeks.
- Sources: Arithmetic on the hours entered; the checking share is our stated assumption and can be changed. Rules behind what is drafted: Renters' Rights Act 2025 and the government's grounds for possession guidance; Gas Safety (Installation and Use) Regulations 1998 as amended

A lettings office runs on messages. A tenant reports a leak, a landlord asks where the rent is, a contractor needs access, a gas certificate is due in six weeks. Since 1 May 2026 the paperwork behind those messages has less room for error, because possession now depends on getting the grounds and the evidence right. This scorecard asks how many hours a week each office job takes in your agency and shows which could be prepared by a tool for a person to check, which stay with a person, and what that time costs you.

**Free tool on the page:** Admin scorecard for a letting agency: the office hours a week that could be prepared by AI and checked by you, job by job. It runs in the browser at https://aeolookup.com/letting-agents/admin-scorecard-letting-agency-office-hours-ai/#tool and asks for no sign-up.

## The jobs it asks about

Six of the eight jobs are writing and tracking from records you already keep. Email replies draw on the tenancy record and your own policies. Compliance dates are arithmetic: the gas check is due within 12 months and can be done up to two months early without losing any of the certificate, which is what the [compliance date tracker](https://aeolookup.com/letting-agents/lettings-compliance-date-tracker/) counts. Arrears letters depend on the stage reached, and the Ground 8 threshold is now three months' rent, as the [Ground 8 checker](https://aeolookup.com/letting-agents/ground-8-rent-arrears-checker/) shows. Repairs are a log, an approval and a chase. Viewings are slots and confirmations. Tenancy paperwork is a pack and a record of what was served and when.

## How the score is worked out

There is one assumption and you can change it. For every job a tool prepares, the scorecard keeps a share of the time for a person to read the draft and approve it. We set that at a quarter. So a job that takes four hours a week by hand is counted as three hours handed over and one hour kept. Jobs that stay with a person are counted in full on your side. The yearly figure is the handed-over hours multiplied by the hourly cost and the number of weeks you enter. It is a cost of time. It becomes money only if the hours go on paid work, or a role you were about to fill is not filled.

## Where the line sits

Two jobs stay with a person. Whether to serve notice, and on which ground, is a decision for the agent and the landlord; a tool can check that £3,750 is owed on a £1,250 tenancy before a Ground 8 notice is drafted, but it should not decide to serve one. And viewings and inspections need someone at the property. The line matters more after the Renters' Rights Act, because an arrears letter that threatens a ground the tenant has not reached weakens the notice later. Drafting by rule helps here: the sum is checked every time, where a person on a busy Monday uses last year's figure. Our [rent arrears letter template](https://aeolookup.com/letting-agents/rent-arrears-letter-template/) sets out the wording stage by stage.

## A worked example

With the example hours left as they are, the scorecard shows 28 hours of office work a week, 21 of them on the six jobs a tool can prepare. Keeping a quarter for checking leaves 15.8 hours a week handed over, 56% of the total. At £15 an hour over 46 weeks that is £10,868 a year. The three largest are tenant and landlord emails (4.5 of 6 hours), repairs and contractor chasing (3.8 of 5) and booking viewings (2.3 of 3). What stays with a person: deciding on notices, and viewings and inspections in person, 7 hours. The example hours are ours, chosen to be plausible for a small letting agency; they are not survey figures, and the point of the tool is that you replace them with your own.

## The three readiness questions

The hours say what could be handed over. The last three questions say whether it would work in your letting agency this month. First, are the rules written down? A tool follows a page that says what a good reply looks like, what must never be said and when to stop and ask; it cannot follow habits that live in one person's head. Second, does the work arrive in writing? Jobs that come by email, web form or from a system with an export can be drafted from. Jobs that come by phone or on paper have to be typed in first. Third, is there one named person who approves drafts every working day? Without one, drafts queue, and a queue of unapproved drafts is slower than doing the job by hand.

## What to do with the result

Start with the job at the top of the list and no other. Write its rules on one page, run it with a person approving every draft for a fortnight, and count how many drafts went out unchanged. If most did, lower the checking share for that job and move to the second. If few did, the rules page is wrong, not the idea.

Overlyft ![](https://aeolookup.com/img/d/ours-badge.png) sets up AI assistants for letting agents built around drafted jobs like the six above; the work is priced after a fixed-price audit, and you pay the AI provider directly for any subscription. The scorecard works the same whichever tool you buy, or if you buy none and give the top job to a part-time administrator instead. Our [comparison of the AI tools sold to letting agents](https://aeolookup.com/best/best-ai-tools-uk-letting-agents/) sets out what else is on the market and what each costs.

## Short answers from this page

**Can AI run the admin in a letting agent's office?** The written, dated parts: repair logging and contractor chasing, certificate dates, portal enquiries, landlord updates and arrears letters by stage. It should not decide whether to serve notice or on which ground; the agent and landlord do. Overlyft can set up an AI assistant that prepares that work for a person to approve and does not answer the phone. Our review compares it with five other tools.
