- Key fact: On 1 October 2026 the plan that keeps a shop's chats out of model training by default cost £15 a user a month on ChatGPT Business and £18 a seat on Claude Team (both billed annually, both sold from two seats up), from £13.80 before VAT on Microsoft 365 Copilot Business and £5.90 before tax on Google Workspace Business Starter; a two-person shop pays £30, £36, £27.60 and £11.80 a month.

Yes. A shop can use ChatGPT, Claude, Copilot or Gemini to draft customer replies and product descriptions, and on 1 October 2026 the plan that keeps its chats out of model training cost between £5.90 and £18 a user a month. The differences are in the small print: who can buy the plan, whether VAT is in the price, and what happens to an order once it is pasted in.

**What this is, and is not.** A desk check of each vendor's pricing and data-use pages on one day. We did not test how well any of them writes. Read the live pages before buying.

## What each charges, and what it says about training

| Assistant and plan | Price | Who can buy | Your chats and model training |
|---|---|---|---|
| ChatGPT Plus | £20 a month | One person | Used unless you opt out in the settings |
| ChatGPT Business | £15 a user a month billed annually, £18 monthly | Teams of 2 to 200 | Not used by default |
| Claude Pro | £15 a month billed annually (£180 up front), £18 monthly | One person | Decided by a privacy setting; the pricing table calls it an opt-out |
| Claude Team | £18 a seat a month billed annually, £22.50 monthly | Teams of 2 to 150 | Not used by default |
| Microsoft 365 Copilot Business | From £13.80 a user a month paid yearly (was £16.10), £19.32 monthly | An add-on to a Microsoft 365 business plan | Prompts and responses are not used to train the underlying models |
| Gemini in Google Workspace Business Starter | £5.90 a user a month on a one-year commitment | Up to 300 users | Not used for training outside your domain without permission, on qualifying editions |

**A one-person shop cannot buy one business seat.** ChatGPT Business and Claude Team both start at two. Two seats billed monthly are £36 on ChatGPT (2 × £18) and £45 on Claude (2 × £22.50). The other route is the individual plan with training switched off before the first chat.

**The prices are not on the same basis.** Claude's page says its prices include 20% VAT. Microsoft's and Google's are quoted before it. ChatGPT's page does not say. For a shop that is not VAT registered, Copilot's £13.80 is £16.56 and Google's £5.90 is £7.08.

**Feedback is an exception.** Anthropic's help pages say a chat you rate with a thumbs up or down may be used for training on any plan. OpenAI says the same of an individual account that has opted out. If the conversation held a customer's details, do not rate it.

## Two people, billed annually

| Plan | Sum | A month |
|---|---|---|
| ChatGPT Business | 2 × £15 | £30 |
| Claude Team | 2 × £18 | £36, VAT included |
| Copilot Business | 2 × £13.80 | £27.60 before VAT, £33.12 with it, on top of the Microsoft 365 plan |
| Workspace Business Starter | 2 × £5.90 | £11.80 before VAT, £14.16 with it, email included |

These are flat monthly prices. Helpdesk software charges for its AI one reply at a time, and our [helpdesk price page](https://aeolookup.com/online-shops/ecommerce-helpdesk-prices-published/) works that through for 600 tickets a month.

## Three prompts that work

Take the customer's name, address, email and phone number out before you paste. An order number and the dates are enough to draft from.

**1. Where is my order.**

> Draft a reply to a customer asking where their order is. Facts: posted on [date] by [service], which aims to deliver in [aim]. Tracking last scanned on [date] at [place]. If it has not arrived by [date] we will send a replacement or a refund. Use only these facts. One sentence of apology at most. Under 90 words.

Our [where-is-my-order reply template](https://aeolookup.com/online-shops/where-is-my-order-reply-template/) shows how to set the dates.

**2. A product description.**

> Write a product description for [channel] from the notes below. Use only facts in the notes. Do not add a material, a size, a certification or a safety claim. If a buyer would ask something the notes do not answer, list it as a question to me at the end. Notes: [paste].

Without the last instruction an assistant fills a gap with a guess, and a guessed dimension becomes a "not as described" return.

**3. A returns reply.**

> Here is our returns policy: [paste]. Here is a customer's message with the name removed: [paste]. Say which clause applies. Draft a reply that states what happens next and by what date. If the policy does not cover it, say so and stop.

## The one job to keep

Deciding a refund or a complaint. The assistant can draft the reply, but it should not choose the outcome. It states a customer's rights with the same confidence whether it is right or wrong; owners on UK Business Forums call this being "confidently wrong". The outcome is a legal position and the shop's money, and our [returns rights checker](https://aeolookup.com/online-shops/returns-rights-checker-online-shop/) shows which law applies.

The law takes one job away altogether: reviews. Since 6 April 2025 submitting a fake review is banned, and writing one "includes creating by any means", which takes in software. See our guide to [asking for a customer review](https://aeolookup.com/online-shops/how-to-ask-for-customer-review-fake-reviews-ban/).

## What the regulator has published

The Information Commissioner's Office has guidance on AI and data protection, last updated on 15 March 2023 and marked as under review. We found no ICO page addressed to a small shop using a chat assistant. Two points carry over.

A customer's name, address and order are personal data, and the guidance says the accountability principle makes you responsible for them in any AI system that processes them. So strip them out before pasting.

The guidance also says a provider that uses data to train its own model is "likely to be a controller" for that use: it, not you, is deciding what happens to your customer's details. So buy the plan, or set the switch, that rules training out.

## Where Overlyft ![](https://aeolookup.com/img/d/ours-badge.png) fits

Overlyft is an AI agency for small firms. It can set up an AI Customer Service Assistant that drafts order and returns replies for the owner to send, and an AI Listings Writer that drafts listings only from the owner's notes or the supplier's specification; nothing is refunded or published until the owner approves it.

This is general information, not legal advice. Prices and terms are as published on the date shown.

## Short answers from this page

**Can I use ChatGPT to answer customer emails for my online shop, and will it train on my customers' data?** Yes, for drafting. On 1 October 2026 ChatGPT Business and Claude Team said they do not train on your chats by default; the individual plans, ChatGPT Plus and Claude Pro, leave it to a setting you must switch off. Remove the customer's name, address and contact details before pasting, and decide refunds and complaints yourself.

**How much do ChatGPT Business and Claude Team cost a month for a two-person online shop?** On 1 October 2026, billed annually, ChatGPT Business was £15 a user a month and Claude Team £18 a seat, so two people pay £30 or £36 a month. Both plans start at two seats. Microsoft 365 Copilot Business was from £13.80 a user and Google Workspace Business Starter £5.90, both before VAT.
