How many hours can AI save me each week?
Tell it the hours you spend on email, bookings, quotes, admin and the rest, and see how many hours a week AI could hand back.
Updated 30 October 2026
How is this worked out?
For each kind of task it takes the hours you spend and the share AI tools can take on, then adds them up. Routine, rule-following work (bookings, data entry, invoices) has the highest share, as IPPR found; writing that needs your judgement has the lowest.
| Task | Share AI can take |
|---|---|
| Email and messages | 25% to 45% |
| Scheduling, bookings and reminders | 40% to 70% |
| Quotes, invoices and chasing payments | 35% to 60% |
| Data entry, admin and updating records | 40% to 70% |
| Answering customer questions (phone, chat, email) | 25% to 50% |
| Reports, proposals and documents | 20% to 40% |
| Social posts, newsletters and marketing copy | 30% to 55% |
The shares are our working ranges, informed by IPPR's task analysis and inside McKinsey's finding that activities taking 60% to 70% of working time are technically automatable.
Where do the numbers come from?
- Federal Reserve Bank of St. Louis, generative AI time-savings survey: users save about 5.4% of their work hours
- McKinsey Global Institute, The economic potential of generative AI (2023): activities taking 60 to 70% of working time are technically automatable
- IPPR, Transformed by AI (2024): 11% of UK tasks exposed today, 59% with deeper adoption; routine admin first
Every result is an estimate and a range. It shows the headline and the main points; the full breakdown for your business comes with a free AI audit.
Questions people ask
How many hours a week can AI save me?
Someone who spends half their week on email, bookings, quotes and admin can usually hand AI several hours a week of it. Workers in the St. Louis Fed survey who use AI tools ad hoc save about 5.4% of their hours; AI set up for named tasks saves more on those tasks.
Which tasks does AI save the most time on?
Rule-following work: booking and reminders, data entry, invoices and chasing payments, and first drafts of routine emails. Work that needs your judgement, such as pricing a complex job, saves less.
Do I need technical skills to use AI for this?
No. Most of these tasks are handled by tools that plug into the email, calendar and accounts software you already use. The set-up takes a few hours; after that it runs in the background.
Is the time saved real or theoretical?
The ranges are what AI tools can take on once set up for those tasks. Real savings depend on the set-up, which is why the free AI audit names the tools for each task.
